I have yet to hear anything back from Phil regarding Philcon, but I am preparing as though it's still a go.

Ta-da! It's me! I'm easily distractable and surrounded by basement clutter-distractions!

Yes, Philcon is a go. Same place as last year, same hours, earlier weekend (November 7-8-9). I'm not running the Not Just For Kids program, but I'm in touch with its head, Becky Robare. Anyone want to run board games? Direct an activity? I think I have enough {Galidor, Bionicle, Ben 10, Hero Factory} parts to support a Build A Figure activity -- which could tie into the Stop Motion activity Becky has planned.

I have to check with Joni Dashoff of the Art Show regarding exhibit space. Hiding the Open Build in the corner in 2011 didn't work well, IMHO.

Also, I'm doing the program book again. Do you have a {sci fi, fantasy, horror, castle, zombie}-type {vignette, model, scene} that you'd like to appear as a filler illustration? Do you have a good photo? Does the photo look good in greyscale?

I'll coordinate DelVaLUG again, we just need times that we can get, contacts if your not present, and how much space we have for MOCs. I am planning on bringing some basic SW sets this year as well.

The website says 9-11 and the FAQ
WHEN IS PHILCON 2012?

Philcon takes place Friday November 9th to Sunday November 11th. Registration opens at 4 pm Friday.

The one thing that I cannot find written in a clear fashion is the actual hours, they have hours listed until midnight for the Art Show, I listed it for calendar purposes as an all day event.

Phil- no idea if this would work, but you're welcome to use it if you want.

Days: Oops, yes, my bad.

Hours: Philcon, and all similar hotel-venue fan-run SF/F conventions, run continuously for ~48 hours over the weekend, from ~6:00 pm Friday to ~3:00 pm Sunday. The only functions with specific hours (i.e., locked up overnight) are the art show and dealers room. The front-desk registration hours are only important for (non-program participant) regular attendees ("members") who need to obtain badges. For DelVaLUG purposes: I will be at the hotel from ~2:00 pm Friday onward, cell phone on my hip, available to receive people and exhibits as they arrive.

Website: I'm not in charge, otherwise obvious oversights like that, of not-thinking-like-newbies, wouldn't slip through. Since that mindset is kinda the core of my paying job in macroeconomics... Smile

Re: 2012 Nov 9 - 11 PhilCon

Post  P_Thorne on Fri Oct 19, 2012 7:55 am

Philcon 2012 is the second weekend of November, approx 4 pm Friday the 9th to 4 pm Sunday the 11th; most arrivals aren't until 6 pm or later. Load-in starts on Thursday, but primary art show setup is on Friday afternoon, so I don't know if the ballroom used by the art show and dealers room gets locked Thursday night. Philcon is a fund-raiser for PSFS, the Philadelphia Science Fiction Society. (Trivia: confusion with the bank was intentional in 1936.) The money-making deal involves filling our room-nights block at the venue, the Crowne Plaza Cherry Hill.

Persons who stepped forward at the 10/18 KoP meeting to serve at Philcon 2012: Nate B., Chris E., (Allison too?), Mike M., Alan O.

Philcon staff policies are such that (a) I get a finite number of staff, (b) they need to be named pre-con, (c) you need to commit to serve (we don't call it "work" to avoid employer liability) at least four hours over the weekend to get free access ("membership") to the con and its other events. We don't need four people at the exhibit at all times; the open build will need monitors; the Family Program can always use extra help (if only for crowd control; alibis -- at least two people in the room at all times; you can't touch the kids). And take a chance to get out a partake of Philcon's other offerings.

I don't yet have photos of 2011 on my Flickr stream, but here's 2009.

For the time being, assume the exhibit space will consist of three adjacent six-foot-square bays with steel pipe frames and hanging pegboard panels, the bays containing six-foot hotel tables with tablecloths and skirts.

I will follow-up when I get details from the heads of Art Show (Joni Dashoff) and Family Programming (Becky Robare).

Alison and I haven't committed to it yet. We're still considering it...

Exhibit space:
* Three bays and tables to fit -- we're go; I have received confirmation from Joni Dashoff, Art Show head.
* Since there will be pegboard panels at the back, we could hang things:
** Backdrop (fabric or the big sheet of black craftfoam I used at Wizard World 2011)
** Mosaics
** Shelves (suspended from short hooks) for small models
** Flying models hung from long hooks
** Large DelVaLUG logos
** Explanatory posters (The easiest way to hang them is with tape; the neatest way is with hooks through large grommets inserted in the posters. Hmm, do grommets fit through foamcore...)

Exhibited MOCs:
* Mike and Alan: What about the collected photos of those steampunk creations?

Pics for program book:
* Dave: Thanks for the mech; it looks good in B&W. Do you happen to have a version of the photo at larger than 423x500? And do you have a name for it?

Staffing:
* Phil, Nate B., Mike M., Alan O.
* Chris and Alison: decision?

The Family program will have a stop-motion activity. I'll be bringing netbook, plug-in webcam, and spare cameras and tabletop tripods, plus LEGO models and other posable toys. There's LEGO Super Heroes Movie Maker (free) and Stop Motion Studio ($0.99) for iDevices, and probably comparable software for Android devices.

The full Family Program schedule is as follows (Becky Robare filled gaps with LEGO open builds):

Friday
LEGO Open Build/Arts & Crafts 5:00-7:00
Maskmaking 7:00-8:00
LEGO Open Build/Arts & Crafts 8:00-9:00
Ghost Stories 9:00-10:00

Saturday
LEGO Open Build/Arts & Crafts 9:00-10:00
Alien Life in the Seas 10:00-11:00
Design a Mars Lander 12:00-1:00
Friendship in Sci-Fi and Fantasy 1:00-2:00
Hogwarts Knitting Club 2:00-3:00
Zombie Preparedness 3:00-4:00
Children & Family Concert 4:00-5:00
Stop Motion Animation in Science Fiction/Fantasy Film 5:00-6:00
Worldbuilding and Mapping 7:00-8:00
LEGO Open Build/Arts & Crafts 8:00-10:00

Sunday
LEGO Open Build/Arts & Crafts 10:00-12:00
CSI: Philcon 12:00-2:00
LEGO Open Build/Arts & Crafts 2:00-4:00

Ugh. Designing (and, to a large degree, writing) the program book absolutely consumed me for many more days than planned. And then I was tired. Anyway, if you didn't already, here's what you need to know for tomorrow:

* I won't be at the hotel before 3:00 p.m.
* My mobile number is 484-716-9883.

See you there! (Be there or be... um, as builders we actually appreciate squares, so, hmm... be a floppy ovoid?)

Not sure if it is appropriate or not for this venue, but might we consider some sort of advertisement for KBE on the pegboard behind the display. I also don't know if any ads for KBE have even reached a final draft yet.

Chris, I would love to have something but as of now, nothing was given to me at Cale's house. If any of the EC has something they can get to me, I would love to promote our event.
